How We Work
Structured accounting for UK travel businesses
operating under VAT, TOMS and regulatory requirements
Working with a travel business is not routine accounting. VAT treatment, margin recognition, regulatory reporting and tax compliance are interdependent — errors in one area affect the others.
Our approach is structured, sector-specific and ongoing. We establish correct treatment at the outset and maintain it as the business evolves.
We do not provide generic small-business accounting or one-off fixes. We work with UK travel businesses that require clarity, control and defensible reporting.
Our working model
We work through clearly defined stages designed to ensure correct treatment from the outset and consistency over time.
1. Understanding how your travel business actually operates
Before any work begins, we establish how the business really functions — not how it appears in software.
This includes:
Principal vs agent status across bookings
Commission versus turnover recognition
VAT compliance, including Tour Operators’ Margin Scheme (TOMS)
Handling of client funds, deposits and advance payments
Supplier settlement timing and booking cycles
Regulatory exposure (including ATOL-related accounting where relevant)
This step is critical.
Incorrect assumptions at this stage lead to incorrect VAT, tax and reporting later — even if filings are made on time.
In practice, most issues originate from incorrect assumptions at this stage.
2. Structuring the accounting correctly
Once the operating reality is clear, we structure the accounting framework to reflect it.
This typically involves:
Bookkeeping structure aligned to travel-sector activity
Correct VAT and margin treatment embedded at transaction level
Clean separation of client funds, income and liabilities
Reporting structures that support VAT, tax and regulatory review
The objective is consistent: defensible reporting aligned with how the business actually operates.
3. Ongoing accounting and compliance support
We then provide ongoing support within a clearly defined scope.
Scope typically includes:
Bookkeeping for travel businesses
VAT compliance (including TOMS where applicable)
Corporation tax and statutory accounts
Director Self Assessment where relevant
Payroll and Confirmation Statements
Management reporting and cashflow forecasting
This work is coordinated, not fragmented.
Each element is aligned so that VAT, tax and reporting are based on the same underlying data.
What this approach gives you
This structure provides:
Clear, defensible accounting treatment
Fewer surprises at VAT and tax deadlines
Reduced HMRC and regulatory risk
Predictable compliance costs
Confidence in decision-making based on real numbers
In short: fewer corrections, fewer emergencies, more control. In practice, this removes the need for corrective work later.
How our system works in practice
We operate a structured accounting system designed specifically for travel businesses.
All VAT treatment, reporting and financial interpretation are based on this system.
This ensures that VAT, margins and financial reporting remain consistent, accurate and defensible — particularly in a sector where treatment depends on how transactions are structured in practice.
While certain areas, such as TOMS calculations or specific payment flows, may require technical adjustments, these are handled within a controlled framework and not through parallel tracking or independent calculations.
Clients are not expected to calculate VAT, interpret reports or maintain separate systems to “sense-check” figures.
Xero is used as the central record, with all accounting structured and reconciled accordingly.
Whom this is for
We work with:
UK travel agents
Tour operators (principal and agent models)
Travel agencies with VAT, TOMS or regulatory complexity
We do not provide services to non-travel businesses or offer one-off compliance work. Businesses outside the travel sector are not within scope.

If suitable, we define scope and next steps for ongoing support.
